Zero errors is the goal in every company. But everyone knows that this goal is not always achieved. In special machine construction, spare parts are often a point with potential for improvement. Optima has addressed this issue and developed a specific ERP solution. This has now resulted in a competitive advantage.

The purpose of special machine construction is to be able to offer the most customised solutions. The further development and optimisation of these machine types are therefore never completely finished throughout their life cycle - whether due to suggestions or change requests from users or internally initiated improvements.

On the one hand, this guarantees customers customised application solutions and state-of-the-art technology, but on the other hand it harbours the potential for errors. This can have a negative impact on future repairs and deliveries of wearing parts - a problem that frequently occurs in special machine construction. But how can this situation be changed? Optima has developed the Change management process developed and introduced.

Planned: an automated solution

Design changes at the packaging machine manufacturer are initially reflected in CAD. However, there is actually a close connection to the ERP system. All changes must logically trigger ERP processes. As these are complex, only an automated solution can ensure that the customer ultimately receives error-free deliveries of parts. To achieve this goal, in June 2014 Optima formed a Central project group, which deals exclusively with this „change“ task.

Interfering with a running ERP system is tricky. And in the case of a far-reaching intervention, as was the case here, it is to a certain extent a Open heart surgery. There was and is no experience from other companies or external consultants. In addition, the changed organisational processes had to be implemented and trained globally in order for them to take effect. In the first five months after its introduction alone, Optima processed no fewer than 10,000 cases worldwide using the new system. The changes introduced so far relate to current projects that are under construction, being installed or in operation.

Done: the realisation

The new functionality of the ERP system used was rolled out in March 2015. Today, the entire Optima Group has an electronically controlled ERP system. Workflow, which begins with a request for a change in the system and specifies a maximum decision period for the change request. If the change is accepted, this has an impact on drawing documents, parts lists, project documentation and other documents. In the ERP software All processes and decision-making scenarios precisely mapped and mandatory. At the same time, there is internal transparency as to who is involved in the process in terms of personnel.

Audit: recognition

There is now positive feedback from customers. As is often the case today, Optima is evaluated by potential clients in audits. The installed ERP solution is always a big plus. It is currently the only known solution on the market that guarantees the operator security to this extent.

Practical example: Camera system

Camera systems are used in many packaging machines. Control purposes for use. One company is already working with a preferred manufacturer that has not yet been used at Optima. It wants this preferred manufacturer in its new Optima machine. Another situation could be that a camera manufacturer that was previously the technological leader has been replaced by another manufacturer. Optima decides to favour the improved technology in the future. In both cases, this change has an impact on software, hardware, mechanics and geometries. The change management system systematically synchronises all necessary changes in the documents. This ensures the Maximum safety for the entire life cycle of a system.
